The Texas Alcoholic Beverage Commission (TABC) is retiring its legacy VERSA system and launching the new Seller/Server School Management System (SMS). This transition will affect every approved seller/server training provider in Texas.
The new platform is designed to centralize and simplify applications, renewals, fees, certification numbers, and compliance reporting — all in one place.

Key Transition Dates
- 08/15/2025 – TABC emailed schools about the upcoming transition.
- 08/21/2025 (11:59 pm) – Legacy VERSA system goes offline.
- 08/25/2025 (morning) – All active users will receive an account activation email.
- 08/26/2025 (morning) – New SMS system officially goes live (with new service fee).
- 09/25/2025 – Deadline to activate your account (30 days from launch).
⚠️ Action Item: Providers should pre-purchase enough certification numbers to cover at least 10 days before downtime begins, in case the transition takes longer than expected.
What’s Changing in the New SMS
Dashboards by Role
- School Dashboard – Manage overall program operations.
- Branch Dashboard – Oversight at the branch level.
- Trainer Dashboard – Manage sessions, completions, and certificate numbers.
Each dashboard provides real-time visibility into completions, upcoming sessions, certificate balances, expirations, and compliance reminders.
Scheduling Classroom Sessions
- Sessions must be scheduled online.
- Required details: date, time, duration, branch, trainer, location, and language.
- Sessions may be one-time or recurring.
- A session cannot be conducted without enough certificate numbers in inventory.
Reporting Student Completions
- Completions are reported directly in the portal.
- Providers can:
- Enter records manually, or
- Upload via CSV file (replaces the old .txt format).
- Reports must be submitted within 7 calendar days of the session.
Data Change Requests
- Corrections (student details, session info, etc.) are submitted online.
- The Data Change Application button replaces the old paper-based form.
Managing Certificates
- Certificates must be purchased through the portal.
- Minimum purchase reduced to 25 certificates (previously 60).
- A $1.25 service fee applies per order.
- Orders and receipts are stored in the new Orders tab.
Renewals & Train-the-Trainer
- Program Renewals – Completed directly in the program dashboard.
- Trainer Renewals – Managed through the trainer’s profile Actions menu.
- Train-the-Trainer Course – Integrated into the portal for easier access and tracking.
Accessing the New SMS
- On 08/25/2025, current users will receive a User Activation email with setup instructions.
- After activation, log in through the TABC website:

What Training Providers Should Do Now
- Pre-purchase certification numbers before 08/21/2025 to cover at least 10 days.
- Watch for your activation email on 08/25/2025 and complete setup by 09/25/2025.
- Update reporting processes to use CSV files instead of TXT.
- Train staff on the new dashboards for sessions, reporting, and renewals.
